Service Agreement Ops View

The ops view is your at-a-glance dashboard for everything the rolling scheduler is managing on your behalf. It surfaces only visits that need your attention — if everything is running smoothly, you'll see a positive empty state.

:::tip No dispatcher needed In most field service systems, someone monitors for conflicts and assigns visits manually. The Chronicaly scheduler handles this automatically — the ops view only shows you things the system couldn't resolve on its own. :::


How do I get to the ops view?

Navigate to Scheduling → Service Agreements. The page updates in real time — new flagged items appear without a page refresh.


What are the three attention sections?

Items where the customer is still deciding are not shown — there is nothing for you to do while the customer holds the ball.

No slot found

The scheduler searched your full frequency window for every preferred day and found nothing available. This means your schedule is genuinely full for that period — not a timing issue that will resolve itself.

What you can do:

  • Manually book a visit for this customer
  • Contact the customer to discuss the situation
  • Increase the Upcoming Visits to Schedule setting on the agreement so the scheduler works further ahead of busy periods on the next run

Each item shows customer name, service type(s), and how many days past the expected visit date.

Customer declined / skipped

The customer received an approval email and explicitly chose to skip this visit, optionally with a reason.

What you can do:

  • Reach out if their reason warrants a conversation
  • Nothing required — the agreement is still active and the scheduler generates the next visit automatically on the next cycle

Expired — no response

The customer received an approval email but didn't respond before the hold expired, and the agreement's Hold Expiry Behavior is set to Release to Queue.

What you can do:

  • Manually confirm if you want to act now
  • Contact the customer directly
  • Nothing required — the agreement remains active and the next cycle handles it

How do I manually confirm a visit from the ops view?

Click Confirm on any attention item. This creates a confirmed Schedule on the calendar, removes the item from the queue, and sends the customer a confirmation notification.


How do I cancel a flagged visit without affecting the agreement?

Click Cancel on the item. The visit is removed and any hold on the slot is released. The Service Agreement stays active — the scheduler generates the next visit at the next appropriate cycle.


What is the Upcoming Confirmed section?

Below the attention queue, the Upcoming Confirmed section shows all confirmed visits from Service Agreements within the next scheduling horizon, sorted chronologically. This is read-only awareness — no action needed.

Agreement-generated visits are visually marked to distinguish them from manually booked schedules. Each row shows customer name, service type(s), date and time, and the agreement frequency (e.g., "Biweekly").


Why don't I see visits that are awaiting customer confirmation?

By design. When the approval email has been sent and the customer hasn't responded yet, there is nothing for you to do. Showing these would create noise without actionable purpose. To check on a specific pending approval, look at the agreement's history tab on the customer profile.


How does the ops view update in real time?

When the scheduler flags a new item — no slot found, within minimum lead days — it pushes an update to your session automatically. New items appear in the attention queue without a page refresh if the ops view is open.


Can multiple staff members see the ops view?

Yes. All staff with appropriate access see the same queue. There is no per-user item assignment.
