Chronicaly Overview

Before you begin configuring Chronicaly, it helps to understand how the core concepts fit together. This page explains the structure of the system and the relationship between its key components.

Core Concepts

Organization

Your organization is your Chronicaly account. Everything in the system — locations, resources, services, appointments, and users — belongs to your organization. You create your organization when you sign up.

Locations

A location represents a physical base of operations — an office, a warehouse, or a starting point for your team. Locations define:

  • The time zone your schedule operates in
  • Your business hours
  • The service areas you cover from that location

You can have one location or multiple. During your free trial, one location is included.

Resources

A resource is anything that travels to perform a job — a technician, a truck, a mobile unit, or a crew. Resources are assigned to locations and given working schedules called time blocks.

RouteSense™ tracks where each resource is throughout the day and uses that information to calculate realistic available time slots for incoming appointments.

Services

Services are the jobs you offer — for example, Standard Cleaning, HVAC Tune-Up, or Lawn Mow. Each service has a duration and an optional price. Customers select services when booking.

Appointments

An appointment is a scheduled job. It links a customer, a service, a resource, a location, and a time slot together. Appointments can be created by customers through the Public Booking Page or by your team internally through the scheduler interface.

How the Booking Flow Works

  1. A customer visits your Public Booking Page and enters their address
  2. Chronicaly validates the address against your service area
  3. The customer selects services and a date
  4. RouteSense™ calculates which time slots are realistic based on travel time from the resource's prior appointment
  5. The customer selects a slot — the system places a temporary hold to prevent double-booking
  6. If approval is required, the appointment enters a Pending status and appears in your Approval Queue
  7. Once approved (or if auto-approved), the appointment is confirmed and notifications are sent

Follow this sequence when setting up Chronicaly for the first time:

  1. Invite your team and assign roles
  2. Create your first location
  3. Set your business hours
  4. Define your service areas
  5. Add resources
  6. Assign resources to your location
  7. Configure time blocks
  8. Build your service catalog
  9. Preview your Public Booking Page
