Users and Roles
Chronicaly uses roles to control what each team member can see and do. When you invite someone to your organization, you assign them a role that determines their access level.
Available Roles
Administrator
Full access to all features including settings, scheduling, reporting, and billing. Administrators can invite and manage other users, configure locations, and dismiss Action Center items for the entire organization.
Assign this role to owners, managers, or anyone who needs complete control over the account.
Scheduler
Can create, view, and manage appointments using the internal scheduler. Can review and act on the Approval Queue. Cannot access billing or most settings.
Assign this role to office staff, dispatchers, or anyone whose primary job is managing the appointment schedule.
Staff
Limited view access. Can view their own schedule and assigned appointments. Cannot create appointments or access settings.
Assign this role to technicians or field staff who need to see their schedule without access to administrative functions.
Billing Administrator
Access to billing settings, subscription management, and invoices. Does not have scheduling or settings access unless also assigned the Administrator role.
Assign this role to a bookkeeper, accountant, or office manager who handles payments.
How to Invite a Team Member
- Go to Settings → Users
- Click Invite User
- Enter the person's email address
- Select their role
- Click Send Invitation
The invited user receives an email with a link to set up their account. They must create a password and accept the invitation before they can log in.
Trial Plan User Limit
The Chronicaly free trial includes two users. Additional users are available on paid plans.
Changing a User's Role
- Go to Settings → Users
- Find the user and click Edit
- Select a new role
- Click Save
Role changes take effect immediately on the user's next page load.
Removing a User
- Go to Settings → Users
- Find the user and click Remove
- Confirm the removal
Removed users lose access immediately. Their historical activity — appointments created, approvals made — is retained in your account records.
